General Information

Q: What is the web address of the new calendar?
A: http://calendar.gohawaii.com

Q: Can anyone enter events onto the calendar? Do they have to be a member of the HVCB?
A: Yes. Anyone can enter events. They do not have to be members of the HVCB.

Q: What distinguishes an event?
A: Events have a precise start date and end date. Activities or Attractions which are open on a regular basis are not events.

Q: Does the HVCB have a place for Activities and Attractions on the web site?
A: Yes. It is in a separate section of the main gohawaii.com website.

Q: Can the HVCB edit the events that are entered onto the calendar?
A: Yes. All submitted events are subject to editing by a member of the HVCB staff. The HVCB has the final say as to the appropriateness of events.

Searching For Events

Q: Can you choose any number of days?
A: Yes.

Q: Can you choose more that one island?
A: Yes. You may choose one, several, or all islands, however, If you are on one of the single island calendars, you will not have any other island choices.

Q: Can you choose more than one category?
A: Yes. You may choose one, several, or all categories.

Q: How does the text search work?
A: When you put a word into the text box, the database will search for that word within the categories you have selected above. You may want to check "all categories" when using the text search.

Q: If you put two words in the text search box, will the computer search for both of them, or one or the other?
A: The computer will look for both at once.

Q: What does, "Include Local Community Events" mean?
A: Local community events are events that are open to the public, but are aimed at a local audience. It is assumed that the majority of Visitors would not be very interested in these events. An example might be the Kaimuki Christmas Parade or a craft fair.

Q: What happens when you check the box for "Include Local community Events"?
A: Your search is expanded to include those events. You should always check this box when you are using a text search, because it does expand the search.

Q: What does "Great for Kids" mean?
A: These are either family oriented events, or events specifically for children.

Q: What happens when you check the box "Great for Kids"?
A: Your search is narrowed (within the other categories you have chosen) to only those that were submitted as "great for kids."

Q: What is the small box in the lower left corner?
A: This box selects the number of results you will get per page after you search.

Q: Can I change the number in the box?
A: Yes.

Q: Why would I want to?
A: It may be helpful to set this to a higher number when you are printing, but remember that the higher the number the longer it will take to perform the search.

Q: How are events displayed?
A: You may sort either by date or by island. Events which span the date range you entered will be displayed first. (e.g., If you entered October 3-5, an exhibition which began on October 1, and ends on October 15 would be displayed before events which are only on a date between October 3-5)

Q: Why does the form remember my settings?
A: The form sets a "cookie" which will remember your settings for 24 hours.

How To Submit Events

Q: How do I submit events?
A: Click on the "Submit Event" button at the bottom of the screen. Fill out the form. You may choose more than one category for your event. Don't forget to be clear about the location of your event in the description. The maximum length for the description is 80 words. If your event is for Visitors and the local community, do not check the box "Local community event." If your event lasts for several days, please indicate in the description which days, if any, you are closed.

Q: When I submit an event, will it be on the calendar immediately?
A: No. All submitted events (including those from Registered users) must be edited by the HVCB information office. This process may take one or two business days.

Q: If I fill in the "URL" field, will my event have a Hot Link to my web page?
A: Yes, if you agree to the following: (1) your website must contain information on the event. (2) You must agree to link back to the calendar. You can use a text link, or we have design buttons you can use. To see the designs, go to http://calendar.gohawaii.com/buttons.

Q: What is a "Special Event"?
A: This is the catch-all category. Only use it when the other categories do not seem to fit your event. For example, The Mission Houses' Christmas Fair would be a "Special Event".

Q: What is allowed in the "Name" field?
A: If you want people to call you, use your name. If it is an organization such as a theater, you may want to put something like Box Office or Ticket Office in that field.

Q: Is the contact person required to have an e-mail address?
A: No, but they are required to provide either a telephone number or an e-mail address (or both).

Registration

Q: After I submit an event, can I change the data?
A: Yes, however, you must register first. That will allow you to go in later and edit your event.

Q: How do I register?
A: Click on the "Register" button at the bottom of the screen. Fill out the form. Don't forget to write down your password. You will receive your confirmation from the HVCB Webmaster within a day or two. Then you can enter the "Maintenance Area" to edit events you have submitted.

Q: Will I be spammed if I register?
A: The HVCB will not give out your e-mail address without your permission, however we will send you occasional reminders to enter and/or update your events.

Miscellaneous

Q: What is the "Maintenance" button?
A: This is where registered users gain access to their events.

Q: After the date of my event has passed, what should I do?
A: If it is an annual event, and you would like to have it come up next year, you have two choices. 1) Edit the date field for next year's dates. 2) If you are not sure of the dates next year, you can list the date as TBA (to be announced). To set the date as TBA, just leave the word "day" in the day field instead of a number. Do this for both the "First Day" and "Last Day" fields. Don't forget to change the year!
